Administrator Job Description
To support the efficient operation of Unitarian Universalist FaithAction New Jersey (UUFANJ), the Administrator will provide 30-40 hours/week with a starting wage between $20-25/hr. The position includes the option to work part of each week remotely.
Responsibilities:
- Develop and maintain strong working relationships with other staff, board members, organizational leadership, congregational liaisons, volunteers and supporters to achieve organizational goals.
- Attend weekly staff meetings held via Zoom
- Provide meeting support for the organization. Most meetings are held via Zoom and recur monthly including the board meeting, congregational liaison meeting, and meetings for each of our four task forces. The administrator will
- Assist Task Force leaders in creating and distributing meeting agendas, notes. and reminders
- Maintain contact information and multiple email distribution lists
- Attend regular monthly meetings (approximately 10-12 total hours per month)
- Manage process for recording/reporting meeting minutes
- Maintain database of contact information and other records for organizational leaders, donors, volunteers, and coalition partners
- Deposit and track donations working with the Treasurer of the Board
- Maintain expense reports on a monthly basis
- Maintain records of advocacy efforts
- Maintain office supplies, records and files
- Handle all incoming and outgoing mail and email
- Coordinate UUFANJ events, including managing volunteers and/or freelance event planners/staff
- Maintain multiple organizational calendars and scheduling of Zoom meetings
- Administration of Google Workspace account
- Coordinate updates to the website and social media platforms
- Adhere to organizational policies, standard operating procedures, and working guidelines, and willingness to alert others to process improvement enhancements
- Assist in various reporting duties in conjunction with staff, board, and volunteers
- Technical proficiency/literacy with Google Suite, Zoom, WordPress, Social Media platforms (Facebook, Instagram, YouTube), and Slack
- Special projects as they arise
- Other duties as assigned
Requirements:
- Strong interpersonal and relational skills
- Ability to take initiative and lead efforts within the organization
- Strong project planning/project management skills
- Excellent written and verbal communication skills
- Strong critical thinking skills
- Flexible schedule including some evening and occasional weekend work
- Occasional travel (driver’s license and access to an insured vehicle)
- Ability to manage simultaneous, ongoing initiatives
- Familiarity with Unitarian Universalist values and sources
- Commitment to anti-racism and anti-oppression
- A passion for the organization’s mission and vision
A company-owned laptop is provided for the duration of employment for the administrator. Training will be provided for the fundraising and engagement platform EveryAction (bonterratech.com/blog/everyaction). UUFANJ pays an 80% contribution towards supported health insurance premiums, 10% towards retirement (after one year), and has paid time-off policies to support our employees’ health and family life.
